Hi Pablo,

I’ve started out with a simple automation to assign a subscriber to the IT Component factsheet when it is created (assigning the creator as a subscriber). This has helped ensure that factsheets have at least one subscriber that can then respond to TO-DO items, surveys, etc.

Awesome topic 😀 As experts in LeanIX automation, scripting and data quality management, LeanIX automations are our daily life. Some of the greatest successes that we have come to experience using our LeanIX Automation Platform:

  • CMDB Automations
    As soon as you link your Application to a Server or VM, the automation looks up the right IT Components (Operating System, Database etc.) and links them directly to the application. If the server is upgraded or decommissioned later on, the links are updated automatically, so your data is always consistent with your real world.

    This automation is available for many CMDBs like ServiceNow, Jira, Lansweeper and Netbox, just to name a few.
     
  • Identity Management Automations
    As soon as you add a subscription to your fact sheet, the automation looks up the manager of that person in your IdM or HR system (Entra ID, Active Directory, Workday etc.) and adds a subscription for that manager as well. This way, you always have a fallback in case one of the two people leaves the organisation, so that a successor can be named.
    Also, you can receive instant notifications if a subscriber has left the organization, so that you can act on it.
     
  • Inheriting and aggregating data
    • Inheriting fields, tags, relations from parents to children
    • Aggregating fields, tags, relations, cost etc. from children to parents according to different rules
    • Transferring data across fact sheets: An Application calculates its criticality based on the criticality of the connected processes and data objects
       
  • Making indirect relations consistent
    If you have a triangle of relations (like Application ↔️ IT Component ↔️ Provider), you keep the relation “Application ↔️ Provider” automatically consistent by calculating it from the two other relations.
  • Automatically creating To-Dos in case of data quality gaps
    This is one of our most requested automations: You define some data quality rules, and the logic will automatically create a To-Do for everybody who needs to close a gap.

Also, I love the classic bread-and-butter automations like calculating cost, scores etc., and I’m really looking forward to having them also in the standard LeanIX automations.


There are two features missing from automations which have limited our usage to only simple cases:

  • ability to send an email to a user (a reminder or notification rather than a to do)
  • time based triggering (e.g. once per day) in addition to event based triggering

You've managed to articulate various aspects and use-cases for LeanIX automation and data quality management, which can often feel quite complex and daunting. I found your comments on CMDB Automations to be especially enlightening. The way you've described the process of linking Applications to Servers or VMs, and how automation ensures consistency and real-time updates, really brings the concept to life in a practical and digestible way.

Also, your explanation of Identity Management Automations was extremely useful. The idea of automating backup subscriptions and receiving updates on organizational changes offers a future-proof system for managing business continuity. These insights are sure to encourage more effective and efficient use of LeanIX.

Creating and an action Items assigns a To-Do that should trigger an email notification to the user unless you have turned this off from your notification configuration. Regarding Time Based triggering please share your use case and feedback with us in https://roadmap.leanix.net/ . Thank you for your sharing!

Yes, we do this but in some cases we don’t want to create a To-Do.  I will submit an idea.
